Expense reimbursements for small teams, without the enterprise suite
You don't need enterprise expense software to run a clean submit, approve, reimburse loop. What a small team actually needs, and what it can skip.
Most small teams live somewhere between "just Venmo me" and a full enterprise expense platform. A few people occasionally spend their own money on company things, and somebody has to approve it and pay them back. That's the whole requirement.
Enterprise tools solve that, and then they keep going. Corporate card programs, travel booking, ERP integrations, policy engines. If you've got twelve employees, you're paying for a lot of machinery you'll never switch on.
What a small team actually needs
- A way to submit an expense with the receipt attached. Ideally by photographing it, with the details filled in for you.
- An approval step. Somebody with the authority says yes or no, and the decision gets recorded.
- A reimbursement mark. When the money is paid back the expense closes out, so nobody gets paid twice.
- A record. Who spent what, who approved it, and when it was settled, all findable later without any archaeology.
That's four things. Notice what isn't on that list: card issuing, per-diem engines, multi-level approval chains, travel management.
How the loop works in Whittle
Whittle's Team plan runs the whole thing. Someone on your team snaps a receipt and the AI fills in the expense. They submit it. An owner or an admin approves or rejects it from the approvals queue, then marks it reimbursed once the money has actually gone out. Every step is recorded. If you trust somebody's spending you can give them auto-approval, and their expenses skip the queue entirely. Receipts are stored privately and only ever served to people inside your account.
Billing is per active member, per month. Invite somebody and the seat count goes up. Remove them and it goes back down. There's no minimum seat count and no platform fee sitting on top of it.
When you genuinely do need the bigger suite
I'd rather say this plainly than pretend otherwise. If you need company-issued cards with spend controls, direct sync into your accounting system, or travel booking in the same tool, you're shopping in a different category. The enterprise players earn their price there.
But plenty of teams just need this: my people spend money, I pay them back, and there is a receipt and a trail I can point at later. You can cover that for a fraction of what those tools cost.
We keep a side-by-side for teams weighing exactly this decision: Whittle as an Expensify alternative.
